We hope that this message finds everyone in good health and good spirits considering all that is going on around us.
I would like to start off by personally thanking every single one of our providers for doing such an incredible job during these challenging times. This is not an isolated issue. This is not a DD Waiver issue, this is not a state of NM issue. This is a worldwide issue. We are all in this together guys. Now, more than ever, we need to take care of one another.
Look guys, none of us have ever experienced anything like this.
We are taking this as serious as we hope you all are. For the safety of all of our employees and their families, as of today, we have made the decision to work 100% remotely. We want to ensure you that although we are working remotely; we are actually working longer and harder than ever before. We are also working on our systems to figure out how to be as productive as possible. There are a lot of moving pieces that we are dealing with here.
One issue that we have is that our phone systems were not properly set up for us to work remotely so we are working on getting an all new phone system. Currently, we are behind on checking voicemails and we ask that you be patient with us. You can always email us to firstname.lastname@example.org for the fastest response. For emergencies and emergencies ONLY, you can always call the office at 340-3444 and hit option 5. We will have brand new phone system within the week. Our number will remain the same.
The main purpose of this message is to discuss our protocol for turning in paperwork, today and until further notice, for the first of the month. Currently we have about 30% of our providers who are still hand delivering their monthly notes to the office. This message is specifically for you.
Effective today, we will no longer be working at the office and ask that you turn in your paperwork via fax or email. I understand how this may be a pain for some of you who like to be more on the old-school side. But again, for everyone’s safety, we will not accept hand delivered notes. We want to thank everyone who has already got us notes through email or fax. We appreciate you stepping up to the occasion.
For everyone else, we have come up with 2 options for you to get your paper work in:
Option 1- Scan and Email them to us
Option 2- Fax them to us at 1-866-326-2873
If you do not have access to a printer or fax, we have come up with a solution for you that we think you will like. We have found a free scanner called Clear Scanner where you can use your cell phone or tablet and essentially take a picture, crop it properly, combine it into one document, and email it to us.
We are attaching an instructional video to this message on how to use the scanner. This will allow you to get us a .pdf document. Please make sure to do your best take a proper scan. We want to get you paid. We do not want to have to send your paperwork back to you. Please take your time and measure twice to cut once. Simply, taking a picture of your notes and emailing or texting them to us does not work. We need you to use the scanner app. The scanner app will save it as a .pdf file that we need to send to Medicaid.
If the note does not come out looking like a scan, the state will not accept it and will not reimburse us.
